What it is

An hour on location is worth a week of floor plans.

For our partner venues we’ve already done the walking — you can configure branding through our digital platform without ever stepping into the venue. Branded Virtual Tours show you exactly what positions are available, what fits where, and what the venue allows. That covers the majority of our work.

But not everything. Venues outside our network. Outdoor sites that don’t exist in any system. Briefs that need a senior eye in the actual space — before you commit to a budget or a layout. For those, a site visit by one of our specialists is the fastest way to move from uncertainty to a concrete plan.

Venues outside our network

For any venue we haven’t pre-mapped, a site visit replaces the digital tour. Same outcome — clear positions, clear constraints — via the slower method.

Outdoor & pop-up locations

Festival fields, brand activations on public squares, custom-built outdoor spaces. No floor plan, no virtual tour. A specialist on site is the only way to scope properly.

Complex or restricted spaces

Historic buildings, ceiling-sensitive venues, places with unusual rigging rules. A virtual tour gives you the visuals — only a physical visit catches the small things.

Pre-commitment scoping

You’re comparing venues, or talking to a venue that’s new on your shortlist. A site visit by our specialist tells you whether the branding ambition actually fits before you sign the rental.

Because our platform covers most cases without on-site work, a physical site visit is a separate, paid service — not bundled into a default proposal. That keeps our overhead low and lets us invest senior time where it’s actually needed. When you request one, you get a specialist with twenty-plus events under their belt, not a junior with a clipboard.

Request & quote

Tell us the venue, the date you need it by, and the brief. We quote the visit (fee + travel) before scheduling.

Schedule

We coordinate with you and the venue. Typical lead time is one to two weeks, depending on calendars and location.

On-location

Half-day walk-through. Photos, dimensions, sightlines, branding positions, constraints. We bring the questions; you bring the brief.

Report

Within one week: annotated floor plan, position recommendations, material specs, and a feasible branding plan for the space.

FAQ

Common questions about site visits.

Is a site visit included in your standard service?

No — it’s a separate paid service, available on request. For our partner venues, our Branded Virtual Tours already give you everything a site visit would deliver, without anyone needing to be on location. That’s the default. The site visit is the exception.

How much does a site visit cost?

It depends on the location (travel), the complexity of the venue, and how much report you want afterwards. We quote it case by case before scheduling. If you proceed with us on the branding programme, the site-visit fee is credited against that proposal.

When do we actually need a site visit?

When the venue isn’t in our pre-mapped network, when the event is outdoors, when the space is unusually complex, or when you need a senior eye on a venue before committing budget. For most events in our partner venues, you won’t need one.

How long does the visit itself take?

Standard is a half-day on location. Larger or multi-space venues sometimes need a full day. We’ll spec the duration in the quote.

What do we receive afterwards?

A written report within a week: annotated floor plan with branding positions marked, photos of key sightlines, material recommendations per position, technical constraints noted, and a feasible branding plan for the space. You can use it with us or with another supplier.

Do you offer site visits internationally?

Yes, across the Netherlands and major European event cities. Travel costs are part of the quote — for further locations we’ll be honest if it’s more efficient to bring a local partner in.
