Branded event badge on a paper lanyard — paper-based, designed as part of the event branding by BrandYourEvent

What it is

A name tag is a brand surface. We treat it that way.

Badges are the most worn piece of branding at any corporate event. They hang at chest height, in every photo, on every handshake. Yet most events still issue a plastic clip-on with a printed sticker inside — a missed opportunity to keep your visual identity consistent from entrance to networking floor.

We design and produce event badges as a deliberate part of your branding programme: matched typography, brand-accurate colour, role-based variants (delegate / speaker / press / staff), printed on thick paper — no plastic holder, no generic clip. Lanyards added only when the event format calls for them. The badge is the product, not its packaging.

Where it works

Badge programmes for every type of event.

Conferences & congresses

Multi-day events with hundreds of delegates, speakers, press, and staff. Role-based colour coding, scannable QR for session check-in, lanyard branding for sponsors.

Corporate events

Internal meetings, kick-offs, leadership offsites. Clean, on-brand badges that match the rest of the visual programme — not the standard plastic clip from the venue.

Product launches

Limited-edition badges that double as keepsake. Special print finishes, premium paper stocks, lanyards in the launch colours. Brand experience from registration onwards.

Galas & awards

Elegant paper badges that fit black-tie. Foil-stamped names, premium card stock, lanyards swapped for ribbons or pins where the dress code calls for it.

Our approach

In-house, on-brand, on-time.

Badges arrive alongside the rest of your branding. No third-party print shop, no separate timeline, no surprise mismatches between the badge and the entrance banner.

  • Designed by our in-house team — either from your supplied artwork or built from scratch
  • Data merge from your delegate list — names, roles, companies, QR codes
  • Printed in-house on thick paper, no plastic holders, no generic clips
  • Lanyards added only when the event format requires them
  • European sourcing for paper and lanyards — lower transport footprint
  • Delivered to your venue or available for pickup from our office in Rijsenhout (near Amsterdam Airport)
  • Tailored proposal within 24 hours, itemised pricing

The process

From brief to badge in four steps.

01

Brief & design

You supply the artwork, or we design it from scratch as part of your branding programme. Role variants, lanyard choice, layout sign-off.

02

Data merge

We take your delegate list and merge it into the design — names, roles, companies, QR codes. One file per badge, sign-off before print.

03

Production

Badges printed in-house in three days. Lanyards (when needed) have a two-week lead time. Quality check before dispatch.

04

Delivery or pickup

Delivered to your venue, or available for pickup from our office in Rijsenhout. Pre-sorted by role or alphabetised on request.

FAQ

Common questions about event badges.

How long does badge production take?

Badges themselves are produced within three days of final design sign-off. Lanyards have a separate two-week lead time, so if you need both, plan for the longer timeline. We’ll be honest about what’s realistic during the intake call.

What materials are the badges made of?

Thick paper. No plastic holder, no generic clip. Lanyards are added only when the event format requires them. The badge itself is designed as part of your branding programme, not as separate packaging that gets thrown away.

Can you design the badges from scratch, or only print our artwork?

Both. If you have brand-ready artwork, we adapt it for badge format. If you don’t, our in-house design team builds it from scratch as part of your wider branding programme — same hands that handle your entrance banner, signage, and stage backdrops.

Can you handle role-based badges — speakers, press, staff, VIPs?

Yes. Role differentiation is one of the most common asks. We work with colour coding, icon variants, lanyard colour, or print finish to make roles instantly recognisable from a distance — without compromising the visual identity.

Do you offer QR codes for session check-in or lead capture?

Yes. QR codes are merged into the design alongside the name and role. Useful for session scanning, attendance tracking, or sponsor lead capture. We’ll align the QR format with whatever registration platform you use.

Do you print badges on-site for walk-in registrants?

No. We deliver to your venue (or you pick up from our Rijsenhout office) but we don’t set up a print station on-site. For walk-in capacity, plan a small buffer of blank badges and a handwriting station at registration — it’s low-tech but reliable.

Can we still make last-minute changes?

We can realise virtually anything — provided there’s design time available. Late changes are billed as extra design hours, but production itself stays fast (three days for badges). The earlier we know, the smoother it runs.

Is there a minimum order quantity?

No fixed minimum — we’ve produced sets from fifty badges for an intimate executive offsite up to several thousand for industry congresses. The proposal scales with volume.

Sustainability

Single-use, but considered.

Our badges are not designed for reuse — they’re paper, personalised, and tied to a specific event. But they’re also not wasteful by default: thick paper instead of plastic holders, lanyards only when needed, sourcing through European partners. They’re produced as part of your wider branding programme, not as throwaway packaging. See our full sustainability approach for the bigger picture.
